Why comments matter for editorial workflows

Section titled “Why comments matter for editorial workflows”

Content creation is a team effort. Writers, editors, designers, and stakeholders all need to provide feedback before a page goes live. Without a built-in comment system, feedback scatters across email threads, chat messages, and sticky notes. CMS comments keep the conversation attached to the content itself, so nothing gets lost and everyone sees the same context.

  1. Open the page or block you want to comment on.
  2. Click the Comments button or icon in the editor toolbar (typically a speech bubble icon).
  3. Type your comment in the text field.
  4. Click Post or Add Comment.
  5. Verify your comment appears in the comments panel with your name and timestamp.

Comments are attached to the specific content item, so anyone who opens that page or block can see and respond to them.

Use @mentions to notify specific people about your comment and draw their attention to a discussion.

  1. In the comment text field, type @ followed by the person’s name.
  2. A dropdown appears with matching user names.
  3. Select the user you want to mention.
  4. Finish writing your comment and click Post.
  5. The mentioned user receives a notification in the CMS.

You can mention multiple people in a single comment. Each mentioned user receives their own notification.

The CMS notifies you when someone mentions you or replies to a comment thread you are part of.

  • In-CMS notifications appear as a badge on the notification bell icon in the top toolbar. Click it to see your recent notifications.
  • Email notifications may also be sent depending on your notification preferences and the CMS configuration.

To manage your notification settings:

  1. Open your user profile or preferences.
  2. Find the Notifications section.
  3. Enable or disable email notifications for comments and mentions.
  4. Save your preferences.

Comments are linked to the version of the content where they were added. This helps you understand the context of a comment even after the content has changed.

  • When you view a comment, the CMS shows which version of the content it was added to.
  • If you create a new draft, existing comments from the previous version remain visible for reference.
  • Comments do not carry forward to new versions automatically in all CMS editions. Check the comments panel after creating a new draft to confirm visibility.

Reply to comments and build discussion threads

Threaded replies keep conversations organized under the original comment.

  1. Find the comment you want to reply to in the comments panel.
  2. Click Reply below the comment.
  3. Type your response.
  4. Click Post.
  5. Your reply appears indented under the original comment, forming a thread.

Threads help you follow the progression of a discussion without scrolling through unrelated comments.

When a comment has been addressed, mark it as resolved to keep the comments panel clean.

  1. Find the comment or thread you want to resolve.
  2. Click Resolve or the checkmark icon.
  3. The comment collapses or moves to a “Resolved” section.
  4. Resolved comments are still accessible if you need to revisit them. Look for a Show Resolved toggle.

Resolving comments signals to the team that the feedback has been handled and no further action is needed.

  • Comment on specific issues. “The second paragraph needs a source” is more actionable than “Needs work.”
  • Use @mentions sparingly. Only mention people who need to take action. Avoid notifying the entire team for minor edits.
  • Resolve comments after addressing them. An unresolved comment list that grows indefinitely is hard to manage.
  • Review comments before publishing. Make it a habit to check for unresolved comments before you click Publish.
  • Keep comments professional. Comments are visible to all editors with access to the content item.
