Why asset management matters
Section titled “Why asset management matters”Every page needs images, documents, or videos. Without a clear system, files get duplicated, mislabeled, and hard to find. The CMS media library gives you one place to store, organize, and reuse assets across your entire site.
Upload files
Section titled “Upload files”- Open the Media section in the left navigation panel.
- Navigate to the folder where you want to store the file.
- Click Upload in the toolbar.
- Select one or more files from your computer, or drag them directly into the media panel.
- Wait for the progress bar to finish.
- Verify that each file appears in the folder with a thumbnail preview.
Create folders
Section titled “Create folders”Folders keep assets organized by topic, campaign, or content type.
- In the Media section, right-click the parent folder.
- Select New Folder.
- Enter a descriptive name, such as “2026 Spring Campaign” or “Product Photos.”
- Click Create.
- Verify the new folder appears in the tree structure.
Tag and describe assets
Section titled “Tag and describe assets”Tags make assets searchable. Good metadata saves time when you need an image months later.
- Select a file in the media library.
- Open the Properties panel on the right.
- Add a Title that describes the content of the file.
- Add a Description for accessibility (screen readers use this text).
- Enter relevant Tags separated by commas, such as “hero, banner, spring.”
- Click Save.
- Verify by searching for one of your tags. The file should appear in results.
Search for assets
Section titled “Search for assets”- Click the Search field at the top of the media panel.
- Type a keyword matching a file name, tag, or description.
- Review the results. Use filters to narrow by file type if needed.
- Verify the correct file appears by checking its thumbnail and name.
Insert assets into pages
Section titled “Insert assets into pages”- Open the page you want to edit.
- Click an image or file field in the content area.
- Browse the media library or search for the asset.
- Select the file and click Insert or OK.
- Verify the asset appears correctly in the page editor.
Move and delete assets
Section titled “Move and delete assets”- To move a file, drag it from one folder to another in the media tree.
- To delete a file, right-click it and select Move to Trash.
- Before deleting, check the Referenced by list in the properties panel. This shows which pages use the file.
- Verify that no published pages reference a deleted asset.
Edit images in the editor
Section titled “Edit images in the editor”You can crop, resize, and transform images directly in the CMS without switching to an external image editor.
- Select an image in the media library or click an inserted image on a page.
- Click Edit Image in the toolbar above the image preview.
- Use the available tools:
- Crop: Draw a selection rectangle or choose a preset aspect ratio (16:9, 4:3, 1:1). Click Apply Crop.
- Resize: Enter specific pixel dimensions in the width and height fields. Lock the aspect ratio toggle to maintain proportions.
- Rotate: Click the rotate buttons to turn the image 90 degrees clockwise or counterclockwise.
- Flip: Mirror the image horizontally or vertically.
- Click Save to store the edited version. The CMS keeps the original file, so you can revert changes later.
- Verify by previewing the page. The image should display with your applied transformations.
Browse external DAM assets
Section titled “Browse external DAM assets”If your organization uses a Digital Asset Management (DAM) system, the DAM Asset Picker lets you browse and select assets from your DAM directly inside the CMS editor.
- Open a page and click an image or media field.
- In the asset browser dialog, look for the DAM tab alongside the standard Media Library tab.
- Click the DAM tab to connect to your external DAM.
- Browse folders or search for assets using keywords, tags, or metadata filters provided by your DAM.
- Select the asset you want to use and click Insert.
- The CMS creates a reference to the DAM asset. Depending on your configuration, it either links directly to the DAM URL or downloads a copy into the CMS media library.
- Verify the asset appears correctly on the page.
Asset management best practices
Section titled “Asset management best practices”Following consistent practices keeps your media library clean and usable as your site grows.
Naming conventions
Section titled “Naming conventions”- Use lowercase, descriptive file names with hyphens:
spring-campaign-hero-banner.jpginstead ofIMG_4582.jpg. - Include the content purpose in the name:
product-comparison-chart.pngtells you what the image shows without opening it. - Avoid special characters, spaces, and accented letters in file names. These can cause URL encoding issues.
Folder strategy
Section titled “Folder strategy”- Organize top-level folders by content area or campaign: “Products,” “Blog,” “Events,” “Brand Assets.”
- Create year-based subfolders for time-sensitive content: “Events/2026/Spring-Conference.”
- Keep a “Shared” or “Global” folder for logos, icons, and assets used across multiple pages.
- Avoid creating folders per page. Pages change, but asset folders stay.
Ongoing maintenance
Section titled “Ongoing maintenance”- Review the media library quarterly. Remove unused assets that no published pages reference.
- Check the Referenced by list before deleting any file. This prevents broken images on live pages.
- Replace outdated assets (old logos, expired campaign images) with updated versions rather than uploading duplicates.
- Use tags consistently. Agree on a tagging vocabulary with your team (for example, always use “banner” instead of mixing “banner,” “hero,” and “header-image”).
